Arena QMS review

A quality system built on top of a mature cloud PLM, so CAPAs, complaints and training sit next to the bill of materials and change orders. Strong for hardware device makers with supply chains; light on risk, software and regulatory reporting, and priced by quote only.

What we like

  • Quality processes, training and design records link directly to items, BOMs and change orders, so a CAPA or complaint shows every affected part and supplier.
  • Unusually open technical documentation: a public REST API with an OpenAPI spec, a changelog, scheduled CSV data extracts and Jira and GitHub connectors.
  • Arena Validate supplies URS, IQ/OQ protocols and execution records for every release, plus PQ templates; over 100 device customers use it.
  • SOC 2 Type 2, SAML SSO in the QMS plan, and an EU instance on AWS covered by PTC's public DPA and sub-processor list.
  • Large user base: 465 G2 reviews averaging 4.2/5, with ease of use rated 8.1 and support 8.5.

What to watch

  • No public price since 2016; implementation, migration and training are paid services, and Arena Validate costs extra.
  • No risk register, FMEA, IEC 62304, UDI or regulatory-reporting features; these are handled with templates, custom fields or linked files.
  • The dedicated supplier quality module is only in Enterprise QMS.
  • After the contract ends, the one-time data export is charged as professional services.
  • Reviewers report a dated interface and weak search, and many call it expensive.

About the price: Estimate for 10 users on the QMS plan, from Vendr's per-user QMS figures ($1,200–2,500 a year) and its lowest recorded deal ($12,427), consistent with Arena's last published price of $79 per seat per month (Jan 2016). Sep 2026. Implementation services and the Arena Validate package are extra and unpriced.

What is Arena QMS?

Arena QMS is the quality management system from Arena, a cloud product lifecycle management (PLM) vendor founded in 2000 as Bom.com.1 PTC, the CAD and PLM company, bought Arena in January 2021 for about $715 million, when it had about 170 employees.2 Arena says it has more than 1,500 customers.3

Arena added quality workflows to its PLM in 2014, launched a “product-centric QMS” in 2016 and added training management the same year and requirements management in 2018.1 Medical devices are a core market: the QMS is marketed for design controls through to 510(k) clearance and EU MDR certification.4

How PLM and QMS fit together. Arena sells PLM plans and QMS plans on one platform.3 Every QMS plan, including the free trial, contains the PLM core (BOM, change and document management) plus CAPA, nonconformance and complaint processes. The paid QMS plan adds requirements, training, projects and analytics, and Enterprise QMS adds supplier quality management.3 A device company would buy the QMS plan, so that’s what this review covers. There is no second product to add on top.

Who Arena QMS is for

Arena fits device companies that:

  • build physical, BOM-heavy products and work with contract manufacturers and suppliers;56
  • want CAPAs, complaints and training tied to the same parts and change orders engineering uses;7
  • have 10 to several hundred people and some budget for implementation services.89

Look elsewhere if you:

  • Build software as a medical device. We found no IEC 62304 features; software work runs through generic tickets, requirements and a Jira connector.1011
  • Need risk management in the tool. No risk register or FMEA object is documented; users link risk management files instead.12
  • Are a very small team on a tight budget. Pricing is quote-only, and implementation and validation are extra.38

Arena QMS pricing

Arena doesn’t publish prices. All QMS plans say “Request Pricing”, agreements are annual, and discounts depend on licence mix (full users, read-only, supplier and training licences).3 On the QMS plan, the validation package, the Microsoft 365 or Google Docs connection and marketplace apps cost extra.3

Arena did publish prices in the past. In January 2016 its pricing page showed “$79 / Month / Seat Average Price”, a blended average for a typical PLM account with an annual subscription.13 In 2015 it said professional services typically cost “15-25 cents on each license dollar”.14

Vendr records 30 Arena purchases with a median of $48,683 a year and a lowest deal of $12,427.9 It puts QMS licences at $1,200–2,500 per user a year, depending on tier, and implementation at $15,000–50,000.9 For 10 users that suggests $12,000–25,000 a year before services. The implementation, data migration and training work is quoted separately under Arena’s terms.8

Some search summaries quote Arena plans at $290, $490 and $990 a year. Those figures come from a leftover website template in the pricing page’s code (“Lead website”, “CMS included”) and aren’t Arena prices.3

Features

Document control and records

Documents are revision-controlled files linked to items and approved through change orders with 21 CFR Part 11 electronic approvals.15 A paid connection lets teams edit controlled files in Microsoft 365 or Google Docs without check-in and check-out.153 Quality processes keep a history down to field-level edits.16

CAPA, nonconformance and complaints

Quality processes are configurable templates with steps, owners, due dates and sign-off.717 Since late 2025 the system enforces step sequencing and required steps before a process can close.18 Arena’s published automation templates show a complaint process that opens a CAPA when the complaint is escalated, and an NCMR process that creates a corrective action request.19 Users report running audits, CAPAs, NCRs, complaints, management reviews and supplier corrective actions this way.1220 A few reviewers found the templates too limited for complaints or CAPA, or the links between processes weak.12

Design controls and traceability

Requirements can be traced to other requirements and to items, with suspect flags when something upstream changes.18 Users build design history files with the Projects module.12 There’s no documented link from requirements to risks or tests, and no automated trace-matrix or DHF export.

Training

Training plans assign documents to people or roles, create new assignments when a document revision is released, and support quizzes and Part 11 “read and understood” signatures.21 Training is in the QMS plan, not the free trial.3

Suppliers

Suppliers get their own licences and role-based access to the product record.5 Supplier records carry approval statuses and links to quality processes.17 The dedicated Supplier Quality Management module is Enterprise QMS only.3

Regulatory reporting, UDI and post-market

Arena’s EU MDR guide offers quality templates for post-market surveillance and serious-incident reports, and suggests a custom field on change orders for UDI impact.22 There is no eMDR or EUDAMED submission feature.

What users say

On G2, “Arena PLM & QMS” has 4.2/5 from 465 reviews, with 8.1 for ease of use and 8.5 for quality of support (checked September 2026).23 PLM and QMS share one listing. On Capterra, “Arena Quality” averages 4.4/5 from 97 reviews.24

We read 447 of the G2 reviews in full.12 More than a quarter say Arena is easy to use or intuitive. Others report a dated interface and a search that needs exact names or part numbers.12 Many praise support, but three describe slow, vague or confused answers.12 More than 20 reviewers call it expensive.12

The reviews arrived in bursts: 168 of the 447 were posted in three short windows in April 2017, November 2019 and August 2020.12 Ratings in those bursts average the same as the rest. In a sample of 70 G2 reviews read in October 2026, 96% are labelled by G2 as invited by the vendor or incentivized.23 Because invited and burst reviews tend to skew positive, our usability, support and sentiment scores are capped at 8 rather than taken at face value. We found no independent discussion of Arena QMS on Reddit or quality forums.

Security, hosting and validation

Arena says its platform is SOC 2 Type 2 compliant, encrypts data in transit and at rest, and offers SAML single sign-on and two-factor authentication.2526 SSO is included in the QMS plan.3

Arena runs separate instances for North America, US GovCloud, Europe and the UK; Arena Europe is hosted on AWS in Europe.2527 PTC publishes a data processing addendum with EU standard contractual clauses and a sub-processor list naming AWS servers in Europe for Arena.2829 Arena’s own service privacy policy, last changed in December 2025, still refers to the EU-US Privacy Shield rather than the standard contractual clauses in PTC’s addendum.3028

Arena Validate provides a user requirements specification, trace matrix, IQ and OQ protocols with execution records, a validation report and PQ templates, updated with each release.31 Over 100 device customers use it.31 AI features that send data to language models are off by default and run in-region on AWS.32

Buying and contract terms

Arena offers a free 10-day trial without a credit card, requested through a form; the QMS trial includes CAPA, NCMR and complaint processes.333 Live demos are available on request.

The default term is one year with automatic one-year renewals and 30 days’ notice, and fees are non-refundable.8 During the subscription you can export items, changes, quality processes and training records as standard CSV files and download files through the API.3417 After the contract ends, Arena offers a one-time export “subject to then-current professional services fees” and may delete data after 30 days.8 That is an exit fee written into the contract, and it is the main reason Arena scores low on contract and lock-in. Plan your own export through DataExtract and the API before the contract ends.

Price increases. The agreement lets Arena raise fees, or add new charges, at each renewal with at least 30 days’ notice, which may come by email. It sets no cap.8 Arena hasn’t published a list price since 2016, so there is no recent price history to check.1335 In 447 G2 reviews we found one complaint about a renewal: a 2019 reviewer says a new sales rep didn’t honour earlier renewal terms.12 Licences are priced per user, so 25 users cost roughly two and a half times as much as 10, less any cheaper read-only or training licences.39 Ask for a renewal cap in the quote.

If Arena is sold or closes. Neither the agreement nor PTC’s data processing addendum covers insolvency or source-code escrow. PTC may transfer the contract to a buyer without your consent.8 The addendum promises your data back when the agreement ends, but the agreement charges for that export.288

We found no published go-live time for a QMS rollout. Arena’s PLM case studies report three to eight weeks.3637

Company and ownership

Arena was founded in 2000 as Bom.com and was based in Foster City, California.138 The private equity firm JMI Equity bought it in 2017, and Arena bought Omnify Software in 2018.1 PTC agreed to buy Arena Holdings, Inc., a Delaware company, in December 2020 and completed the deal on 15 January 2021, paying about $715 million.3940 At the time Arena had about 170 employees, more than 1,200 customers and about $50 million in annual recurring revenue.238

Your contract today is with PTC Inc. itself, a Massachusetts corporation listed on Nasdaq (ticker PTC) and based in Boston.841 In the year to 30 September 2025, PTC reported revenue of $2.74 billion, net income of $734 million and shareholders’ equity of $3.83 billion; it doesn’t report Arena’s figures separately.42 The sale of PTC’s Kepware and ThingWorx businesses to an affiliate of TPG, agreed in November 2025, doesn’t include Arena.42

Verdict

Shortlist Arena QMS if you make hardware devices, manage complex BOMs and suppliers, and want quality records tied to the same product record as engineering. Look elsewhere if you need risk management, IEC 62304 support or a low, published price. Ask for the full quote in writing, including implementation, Arena Validate and the cost of exporting your data at exit.
